When uploading key company data into ProjectSight, whether from internal documentation or from a separate project management software, being able to efficiently and accurately transfer those files is critical to project success within your firm. Without the proper tools to complete your data implementation, you and your firm risk negative externalities like incomplete data sets or mislabeled documentation. In this week’s Tip Tuesday, we will cover the data migration process for Requests for Information (RFIs) in ProjectSight.
In your project’s main dashboard screen, click into ‘Document Control’ and select ‘RFIs’.
After entering the RFI screen, click the “plus” icon (highlighted below) to create a new RFI.
Upon clicking that icon, this page will appear on the right-hand side of your screen. The highlighted cells must be completed for the program to properly file this RFI, but the rest of the cells, though they can provide necessary context for your submission, are optional for completion.
You can change the status of your RFI by clicking ‘Draft’ which will provide you with three status options: Draft, Open, and Closed. A draft designation indicates the RFI is not ready for publication, an open status project will be published but is considered ongoing and can still be edited, and a closed RFI will be published and locked from editing from the viewer. You can also write a question or save a file in the bottom of the toolbar menu.
Once you save your RFI, it will appear in your RFI section like this:
If you want to edit a Closed RFI, simply double click on the box above and select the lock icon. Once you tap this icon, the RFI will be changed to status Open while you make your edits. When you want to re-lock the RFI after completing your edits, you will have to click on the status bar again and select Closed.
To save your RFI, whether it be set to
draft,
open, or
closed, click the icon highlighted below.
The ability to accurately track RFI documentation is crucial for successful internal communication within a construction project, and utilizing a software like ProjectSight to track this and other types of documentation will not only help organize your process flow but save your firm time and money.
